Connecting Klaviyo to QPilot

Connecting Klaviyo to your QPilot Site sends customer and subscriber data to Klaviyo, so you can build flows that react to what subscribers do — cancelling, pausing, placing their first order.

Create a Private API Key in Klaviyo

In Klaviyo > Click your account name in the lower left > Click 'Settings' > Click 'API keys' > Click 'Create Private API Key'

Name it QPilot Key > Select 'Custom Key' > Set Events to Full Access > Set Profiles to Full Access > Click 'Create' > Copy the key

Important: Events and Profiles must both be Full Access or the integration will not work.


Connect your QPilot Site

In the QPilot Merchant Center > Click your account menu in the upper right > Click 'Apps' > Click 'Klaviyo' > Under Select Your QPilot Site to Connect, choose your site > Paste your key into Private API Key > Click 'Update'

To connect another site, choose a different site and repeat.


Allow 5-10 minutes for new site connections

Data takes a few minutes to begin synchronizing. Sites with more than 10,000 customers need 30-60 minutes to sync all pre-existing customer data.

Creating your first flow

With your data syncing, you can build flows that react to what subscribers do. We'll start with a win-back: this flow emails subscribers three weeks after they cancel, but only if they haven't come back on their own in the meantime.

Win back former subscribers

Create the flow and set the trigger

In Klaviyo > Click 'Flows' in the left menu > Click 'Create flow' in the upper right > Click 'Build your own' > Name it Win Back Former Subscribers > Click 'Create flow'

Click the Trigger block > Click 'All triggers' > Search for QPilot Scheduled Order Deleted > Select it

Create the flow and set the trigger

In Klaviyo > Click 'Flows' in the left menu > Click 'Create flow' in the upper right > Click 'Build your own' > Name it Win Back Former Subscribers > Click 'Create flow'

Click the Trigger block > Click 'All triggers' > Search for QPilot Scheduled Order Deleted > Select it

Exclude subscribers who came back

In the Trigger panel, scroll to Profile filters > Click 'Add' > Click 'Add profile filter' > Select 'Properties about someone' > Dimension: totalScheduledOrdersActive > Select 'equals' and enter 0 > Type: Number > Click 'Save'

Click 'Save' again to save the trigger, then confirm.

Important: without this filter you will email subscribers who already resubscribed during the wait.

Add the wait and the email

Click the + below the Trigger block > Select 'Time delay' > Enter 21 > Leave the unit on Days > Click 'Save'

Click the + below the time delay > Select 'Email' > Click 'Set up email' > Write your subject line and content > Click 'Save'

Turn it on

Click 'Review and turn on' in the upper right

New flows are created as drafts and will not send until you turn them on.

Each follows the same process — only the trigger and the profile filters change.

Re-engage paused subscriptions

Subscribers who paused a month ago and haven't come back.

Create the flow and set the trigger

In Klaviyo > Click 'Flows' > Click 'Create flow' > Click 'Build your own' > Name it Re-engage Paused Subscriptions > Click 'Create flow'

Click the Trigger block > Click 'All triggers' > Search for QPilot Scheduled Order Paused > Select it

Confirm they are still paused

Scroll to Profile filters > Click 'Add' > Click 'Add profile filter' > Select 'Properties about someone' > Dimension: totalScheduledOrdersPaused > Select 'is at least' and enter 1 > Type: Number

Click 'Add profile filter' again > Select 'Properties about someone' > Dimension: totalScheduledOrdersActive > Select 'equals' and enter 0 > Type: Number > Click 'Save'

Together these check the subscription is still paused when the email sends, rather than having already resumed.

Add the wait and the email

Click the + below the Trigger block > Select 'Time delay' > Set it to 30 days

Click the + below the time delay > Select 'Email' > Click 'Set up email' > Write your subject line and content > Click 'Save'

Turn it on

Click 'Update status' > Select 'Live'

Turn repeat customers into subscribers

Customers who keep buying products one order at a time.

Create the flow and set the trigger

In Klaviyo > Click 'Flows' > Click 'Create flow' > Click 'Build your own' > Name it Repeat Buyers to Subscribers > Click 'Create flow'

Click the Trigger block > Click 'All triggers' > Search for Placed Order > Select it

Important: Placed Order comes from your store's own Klaviyo integration, not from Autoship.

Exclude anyone who already subscribes

Scroll to Profile filters > Click 'Add' > Click 'Add profile filter' > Select 'Properties about someone' > Dimension: firstScheduledOrderCreatedUTC > Select 'is not set' > Click 'Save'

This keeps the flow to customers who have never had a subscription.

Add the wait and the email

Click the + below the Trigger block > Select 'Time delay' > Set it to 1 day

Click the + below the time delay > Select 'Email' > Click 'Set up email' > Write your subject line and content > Click 'Save'

Turn it on

Click 'Update status' > Select 'Live'

Remind subscribers before their snooze ends

Subscribers who snoozed and are about to resume.

Create the flow and set the trigger

In Klaviyo > Click 'Flows' > Click 'Create flow' > Click 'Build your own' > Name it Snooze Ending Reminder > Click 'Create flow'

Click the Trigger block > Click 'All triggers' > Search for QPilot Scheduled Order Snoozed > Select it

Add the wait and the email

Click the + below the Trigger block > Select 'Time delay' > Set it to a few days short of your snooze length

Click the + below the time delay > Select 'Email' > Click 'Set up email' > Write your subject line and content > Click 'Save'

In the email, use {{ event.NextOccurrenceUtc|date:"F j, Y" }}    to show the date their subscription resumes.

Turn it on

Click 'Update status' > Select 'Live'
